WhatsApp Business App vs API: Which One Does Your Business Need?

The free app is enough for one person answering on one phone. Once a team, integrations or AI are involved, you need the Platform.

2 min read

Quick answer

Use the free WhatsApp Business app if one or two people answer customers from a phone and simple greeting/away messages are enough. Move to the WhatsApp Business Platform (the API) when several people need to share one number, when you want AI agents, CRM integration or automated flows, or when you need to send approved template messages such as booking updates at scale.

The short comparison

WhatsApp Business app WhatsApp Business Platform (API)
How you use it Mobile/desktop app Through software that connects to Meta's API
Team use Limited linked devices Shared inbox for many agents on one number
Automation Greeting, away messages, quick replies Flows, AI agents, routing, integrations
Business-initiated messages Manual Approved templates (marketing, utility, authentication)
Integrations Very limited CRM, calendars, e-commerce, webhooks
Cost App is free Meta charges per message; your platform charges its subscription

Signs you have outgrown the app

  • Customers wait because the one person with the phone is busy.
  • Leads are lost when an employee leaves with the chat history.
  • You copy-paste the same answers dozens of times a day.
  • You want to send booking reminders or order updates automatically.
  • You want an AI agent to answer common questions.

What changes when you move to the Platform

Messages you start need templates. After a customer writes to you, you have a 24-hour customer service window to reply. Outside it, you can only send templates approved by Meta, in one of three categories: marketing, utility or authentication.

You pay per message. Since 1 July 2025 Meta bills per delivered template message, with rates that depend on the category and the recipient's country. From 1 October 2026 Meta also charges for service messages and for utility messages sent inside the 24-hour window. Read how WhatsApp Business Platform pricing works before budgeting.

AI must be part of a business service. Meta's terms do not allow general-purpose AI assistants as the product, but AI that serves your customers about your business is permitted.

How to switch

You connect your business number to the Platform through a provider or a platform that supports Meta's onboarding. Plan the switch: the number used on the Platform is managed through the business software rather than as a normal phone chat account, so agree internally who answers where before you move.

Frequently asked questions

Is the WhatsApp Business app free?

Yes, the app itself is free to download and use. The WhatsApp Business Platform is charged per message by Meta, plus whatever your software platform charges.

Can I use the app and the API on the same number?

Meta has introduced options for some businesses to use both on one number, but availability and limitations change. Check Meta's current documentation or your provider before planning on it.
